Minutes

-Chair, Sue B called the meeting to order at 6:30 pm with the Unity Declaration.
-Secretary called the roll. Present were Sue B., Andrew P., Ann J., Mike K., Genie E., Pat S., Jill K., Neil D., Sue L., Katie L., Starla and Amy H.
-Secretary called for a motion to waive the reading of the minutes of the August District 4 meeting. Andrew called the motion, seconded by Katie. Motion passed.


DCM report: Sue B.

  1. Next GSR Coffee hour is scheduled for October 2. All GSRs, Alt GSR’s or home group members interested in
    General Service are encouraged to attend.
  2. Battle of the Bowls!!! – District 4 Chili Cook Off and Day of Sharing – October 21. All groups in District 4 are invited
    to participate in our first annual Chili Cook Off and Day of Sharing. All members of AA will be invited to attend a day
    of fun, food, and inspiration. In addition to our food and fellowship, we will have a panel on the importance of GSRs
    in the AA General Service Structure.
  3. The Area Ad Hoc Inventory Committee is meeting virtually on September 13, September 27, October 11, October
    25, November 8, November 22, December 6 and December 20. Meeting ID – 812 0138 1467, Passcode 925034. If
    you want to provide input, you can attend the Committee meetings or contact the Committee Chair Brian B at
    p72treasurer@area50 wny.org.
  4. Attached is the draft policy for reimbursement of GSR expenses for attending General Service Events inside and
    outside of Area 50. Click here to see the draft policy. The vote will be taken at this meeting.
  5. The Area elections will be held on September 16, all GSRs should attend. Please consider standing for an Area
    position. The meeting will be hybrid for those who are unable to attend in person.
  6. District 4 elections for Panel 74 will be held at our October meeting – October 10, 2023.

    Treasurer Report: Sue B. for Stephen
    Treasury balance: $2512.85. Stephen is working on sending acknowledgements for contributions. $350 in receipts
    was presented by Sue B. for printing costs for the October 21 Chili Cook off.

PIC Report: Ann J.

  1. The committee’s current project is public service announcements on the rear of buses (Bus Tails). These are currently being displayed on buses circulating in the City of Buffalo, Riverside, East and West, North and South Buffalo.
  2. The tables at colleges are starting back up at Buffalo State and UB and possibly Deauville etc.
  3. The committee is reaching out to guidance offices in local schools such as Kenmore, Tonawanda, Williamsville, and Sweet Home.
    Web chair Report:
    I created Chili Cookoff Save the Date flyer- 2 versions- and distributed to applicable group members.  Edited the
    chosen version.  Edited Chili cookoff post on the website.  Added August meeting minutes and September agenda to
    website.  Edited to create final CCO flyer with contact information and distributed to appropriate parties.
    Places of Worship Report: Andrew
    Efforts continue to distribute literature to places of worship within our district.
    Old Business:
  4. Day of Sharing/Chili Cookoff – 1 pm setup and 2 pm start – 5 pm. Nancy, Sue B. and Sue L. have almost everything
    planned out. Genie has sent the final flier with contact numbers for groups to “register” their chili entry.
    We discussed extension cords and power strips; maintenance should be able to accommodate everything we need.
    Amy is gathering the GSR panel which will run for a little over an hour with a Q&A to follow.
  5. Reimbursement policy – Motion to accept the District 4 Reimbursement policy was made and passed.
    -New Business:
    District 4 Panel 74 – Elections – we will have elections for DCM, Alt. DCM, Secretary, and other open
    positions for Panel 74.

The meeting closed with the Responsibility Declaration at 7:23 pm.
